Why order admin slips in a small factory
Order details arrive from everywhere. A purchase order comes in by email, a repeat order comes in on the phone, a customer texts a change to the sales rep, and a supplier rings about a late delivery. Someone has to turn all of that into one accurate order record that the planners can trust.
The people who know the answers are usually the ones running the line or the dispatch door. Every status call pulls them off the job. Over a week, that adds up to lost hours, and the customer still waits for the answer.
An AI assistant takes the calls and the first pass at the paperwork. It captures the order details properly, answers the status questions from your records and routes the rest to the right person with the details already in place.
Order intake and confirmations
When a customer places an order by phone, the AI takes it in the same structure each time. Nothing is left to memory, and nothing goes into production until the details are complete and confirmed.
- Customer name, account and purchase order number
- Products and product codes, checked against your product list
- Quantities, finishes and any special notes
- Delivery address and the date the customer needs the goods
- Anything it cannot match, flagged for your team rather than guessed
Once the order is captured, the customer gets a written confirmation to review, and your order record is updated. Where your order system allows it, the order goes straight in. Where it does not, the team receives a complete order summary to enter. We confirm which applies on the discovery call.
Lead-time and order-status calls
Customers ring to ask when their goods will be ready. In most manufacturing businesses, that question should have a clear answer from the order record, and the caller should not need to speak to the planner to hear it.
Your AI assistant gives the status of an order and the lead time you have set for that product, from your order records. If the status is unclear, or the order is running later than the lead time, it says so and passes the question to planning. It does not guess a date, and it does not change one.
Quote requests for the sales team
A quote request is a sales opportunity, and it often comes in as a rushed message or a call from site. The sales team needs enough detail to price the job without a round of follow-up questions.
The AI captures the product, the quantity, the material and finish, the delivery location, the required date and any drawings or photos the customer mentions. It confirms the contact details, sends the request to your sales team in one clean summary and tells the customer when to expect a reply. It does not price the job or promise a turnaround your team has not set.
Supplier follow-ups
Suppliers ring about delays, substitutions and delivery times, and those calls often reach whoever is closest to the phone. The information is important, but it is easy to lose between the call and the purchase order.
The AI takes the supplier message, matches it to the purchase order, records the new date or change and passes it to your purchasing contact. When a supplier date passes without a delivery update, the purchasing contact is flagged so they can chase it before the production schedule slips.
The automation behind the calls
The calls are the front of the process. The automation behind them keeps the order record, the supplier chase and the management view in step. Each piece is scoped on the discovery call against the systems you already use.
Order confirmations
Every confirmed order triggers a written confirmation to the customer and an entry in the order list for planning. Changes after confirmation are logged against the original order, so nobody is working from an old version.
Stock and supplier alerts
When a material you order in drops below the level you set, purchasing gets an alert. When a supplier date slips, the affected orders are listed together, so the planner can see what is at risk in one place.
The daily order report
Each morning, management gets a short report: orders received overnight, open orders by due date, quote requests waiting for sales, messages not yet actioned and supplier dates to chase. It replaces a stack of handwritten notes and a round of questions at the morning meeting.
What it does not do
The AI works in the office and on your calls. It takes orders, answers status questions, routes quotes and supplier messages and keeps the admin moving. It does not run machines, set production schedules, change a job on the floor or make decisions about price, credit or quality. Those stay with your planners, sales team and managers.
Setup and privacy
Setup starts with your product list, lead times, order process and the names of the people who should receive each type of request. We then confirm which order and purchasing records can be connected on the discovery call, and what your team will enter by hand. You approve every script before the AI takes a live call.
Callers are told they are speaking with the company AI assistant at the start of every call, and each call is summarised for your team. For how customer and supplier details are kept, read the privacy policy. The wider automation work is covered by business process automation and workflow automation, and it is quoted after a discovery call.
