Why heatwaves overwhelm an air conditioning phone line
Air conditioning work is seasonal and weather driven. A calm week can turn into a queue of breakdowns in a single afternoon, and the people calling are hot, frustrated and often waiting for a call back. A team that is already out on jobs cannot pick up the phone for every one of them.
Here is a simple way to think about it. If five breakdown calls go to voicemail on a hot afternoon, and each one would have booked a same-day visit, that is five jobs that may go to the next company on the search results. An AI receptionist answers all five at once, sorts them and keeps the most urgent ones moving.
Breakdowns, priority households and emergencies
A breakdown call needs a few quick answers before anyone can decide what happens next. Your AI receptionist asks the questions you approve, such as whether the unit has stopped completely, which rooms are affected and whether anyone in the home is elderly, very young, unwell or medically reliant on a cool room.
Households that meet your priority rules are flagged and routed to the on-call technician straight away. Everyone else is booked into the next available slot, with the notes your team needs. You decide what counts as a priority household. The AI applies those rules and does not add its own.
The AI does not diagnose the fault, and it does not tell the caller how to fix the unit. Its job is to get the right information to the right technician, quickly, so the visit is planned properly from the first call.
Service and maintenance bookings
Most calls about service are not urgent, but they are still time sensitive. Customers want the split system or ducted unit serviced before the hot months, and they want a time that suits them without a long wait on hold. The AI offers the times you have open, books the visit into your calendar and sends the confirmation.
- The number of units and the type of system, so the right job length is booked.
- The property address, access details and any pets or parking notes.
- The customer name and the best number to text on the day.
- Whether the visit is a service, a repair inspection or a check before summer.
If your calendar cannot be connected directly, the AI sends the booking request with the preferred times to your team, who confirm it. Which setup suits you is confirmed on the discovery call. If you want reminders sent before a service visit, that can be added as part of an automation plan. See the AI receptionist page for how the call handling works.
Installation quote requests
Installation quotes depend on the room sizes, the building, the switchboard and what the customer wants to achieve. The AI does not guess a price. It quotes only figures you have supplied, such as a standard site visit fee. For everything else, it gathers the details your team needs and books a site visit or passes the request on.
- The property type, such as a house, a townhouse or a unit.
- The rooms or zones to cool or heat, and roughly how many.
- Whether the customer is building, renovating or replacing an existing system.
- When they would like the work done and how they would like to be contacted.
Your team gets a clean request with those notes attached. The customer is told when to expect the quote, and the AI does not promise a date you have not agreed to.
Warranty questions taken as messages
Warranty questions are where a phone line can go wrong. A customer wants a yes or no, and a wrong answer creates a dispute. So the AI only answers from warranty terms you have supplied in writing. For anything beyond that, it takes a message and makes sure the office has what it needs.
The message includes the product, the install date, the invoice reference if the customer has it and a short description of the problem. The AI tells the caller that your team will confirm the position and when to expect a reply. It does not give a verdict on whether a fault is covered by the manufacturer.
When the AI cannot help
Some questions need a technician on the phone or on the job. Whether a noise is serious, whether a unit is safe to run, or how a fault should be repaired. The AI does not answer those. It takes a clear message, flags it for the right person and tells the caller when to expect a reply.
Anything that could be a safety issue, such as a smell of burning or a sparking unit, is treated as urgent under your rules and passed to the on-call technician. The AI tells the caller to switch the unit off at the wall only if it is safe to do so. If the caller describes smoke, a fire or someone in danger, the AI tells them to call 000.
What your team sees at the end of each day
Each call ends with a summary sent to your office by SMS or email. It shows the caller, the property, what they needed, what was booked, what was routed and what needs a call back. Calls that came in while the crew was out are waiting in a single list when the office reopens, sorted by urgency, so the priority households are called first.
Customer details and privacy
Each caller hears first that the AI assistant is answering. Your team signs off the questions used to flag priority households, and what the AI says about pricing and warranties. Each call is transcribed for the summary, and whether audio is also recorded is agreed with you before go-live. For how the site handles data, read the privacy page. Ask about your own data setup on the discovery call.
