Why plumbers miss calls
A plumber on the tools cannot answer the phone. You are under a sink, in a roof space or halfway through a hot water changeover, and the phone is in your pocket or on the van seat. If you are under a sink or mid changeover, the call rings out and the caller may ring the next plumber on the list.
The calls that get lost are often the ones that matter most. A tenant with water coming through the ceiling. A homeowner who wants a quote before the weekend. A busy family who would book a drain clearing on the spot if someone picked up.
An AI receptionist answers while you are working. It takes the details, books what can be booked, routes what is urgent and leaves you a summary you can read between jobs.
Burst pipes, leaks and gas
Emergencies need a fast, clear first response. Your AI receptionist asks the triage questions you approve, such as whether water is still flowing, whether it is reaching electrical outlets or appliances, and whether anyone is hurt. It then acts on the answers under the rules you set.
Calls that meet your urgent criteria are put through to whoever is on call. Calls that can wait are booked into your next available slot, with the notes your team needs. Your on-call roster, the order it rings people in and the point at which a call goes to voicemail instead all follow your settings.
If anyone is in danger, the AI tells the caller to hang up and call 000. Your on-call plumber is only called in once the safety question has been answered. If water is near electrical equipment, the AI tells the caller to keep clear of power points and appliances, and to switch off at the switchboard only if it is safe to reach.
Routine jobs, booked into your calendar
Most calls are routine. A dripping tap, a running toilet, a hot water unit that is making a noise. The AI takes the job, checks which times suit your route and offers them to the caller. Where your calendar is connected, the booking goes straight in. Where it is not, the request goes to your team with the preferred times, and they confirm it.
- The job type, so a drain clearing gets a different slot from a tap replacement.
- The suburb and the access details, such as a gate code or where the keys are kept.
- The caller name, the best number and any notes about pets or parking.
- Whether the job is a same-day request, a booking for a set day or a message for your team to call back.
The times you offer, how long each job is booked for and which days you take new work all follow the rules you set on the discovery call. The AI does not book outside those rules.
Quote requests, without guessing prices
Plumbing quotes depend on access, materials and what is found once the wall is open, so the AI does not invent them. It quotes a price only when you have supplied it, such as a standard call-out fee or a fixed price for a common job. For everything else, it collects the details your team needs to quote properly.
- What needs doing, in the caller words.
- The property type, the number of fixtures and whether it is a renovation.
- When they want the work done and how they would like to be contacted.
- Any photos the caller can send by text, if you choose to allow that.
Your team gets the request with the notes attached and calls back with the quote. If you want the AI to offer a site visit, it books one into the calendar rather than quoting over the phone. The AI receptionist page covers how the call handling works in more detail.
Working with your calendar and job software
Your AI receptionist books into the same calendar you use, using the same job lengths and service area rules. Which calendar, job management or invoicing software it can connect to is confirmed on the discovery call, before you commit to anything. Where a direct connection is not possible, it still takes the booking request and gives your team everything they need to confirm it in a few seconds.
If a caller asks about a job that is already booked, it finds the appointment, offers new times and updates the calendar. Cancellations are offered a rebooking straight away, so a gap in the day can be filled before it turns into a lost hour.
When the AI cannot answer
Some questions need a plumber, not a phone call. Diagnosing a fault from a description, judging whether a repair is safe, or deciding whether a job needs a licence or a permit. The AI does not answer these. It takes a clear message, flags it for the right person and tells the caller when to expect a reply.
What you see at the end of the day
Every call ends with a short summary sent to you by SMS or email: who called, where, what they needed, what was booked, what was routed and what still needs a call back. Overnight calls are waiting in one list when you start, with the urgent ones at the top, so you can plan the morning before you leave the house.
Customer details and privacy
Callers hear early on that the AI assistant is answering for you. You approve the scripts, including what the AI says about pricing, emergencies and gas, and job addresses go into the notes your team reads. Each call is transcribed so the summary is accurate. Read the privacy page for what the site commits to, and ask about data handling on the discovery call before you go live.
