Why roofers miss calls after a storm
The day after a storm, the phone rings from first light until late. Every home with a drip wants a roofer this week, and your crews are already on the roofs. The calls that go to voicemail go to the next roofer on the list.
Some of those calls are urgent: a ceiling that is sagging, water near a light fitting, a tarp that has blown off. Others are quote requests that take five minutes to take and can wait for an estimator. Your office needs to tell the two apart without losing either.
An AI receptionist handles several calls at the same time, sorts storm damage from quote requests and keeps the urgent ones moving.
Storm damage and leaks
For a storm or leak call, the AI asks the questions you approve. The list is yours to set, but it usually covers:
- Is anyone hurt or at risk in the home?
- Is water near a light, power point or ceiling that is sagging?
- Is the roof open to the weather, and is the damage getting worse?
- Which suburb and street, so the crew can plan the route
If someone is in danger, or there is a fire, the caller is told to hang up and call 000. If the home is unsafe, the caller is told to call the SES on 132 500. Urgent calls that meet your rules go to your on-call crew. The rest are logged and queued for the next available inspection.
Gutter and roof repair quotes
Most repair calls are a quote request with a few questions: what is damaged, roughly how much of the roof or gutter is affected, the suburb and the best time to ring back. The AI takes those details and logs them, so your estimators can call back with a price.
It does not price the job. It only quotes figures you have supplied, such as a standard callout fee, and it does not estimate the cost of tiles, sheeting or gutter sections. For pricing on the receptionist side, see plans and pricing.
Restoration and insurance-related calls
Fire, hail and storm restoration calls come with paperwork and a lot of stress. The AI takes the property details, the type of damage and the caller's contact number, notes whether an insurer is involved and passes the message to your team.
Inspections and bookings in your calendar
Inspection visits are where a busy roofer loses the most time to back-and-forth. The AI offers the days your estimators have open, notes access details such as a locked side gate or a dog in the yard, and books the visit.
Whether it books straight into your calendar or sends a request for your office to confirm depends on your booking system. We confirm which applies on the discovery call.
After hours, and what your crew sees in the morning
The calls that come in at night are the ones most likely to be urgent, so they need the most care. The AI picks them up, asks the questions you approve and flags anything that meets your urgent rules to your on-call crew straight away.
Each summary lists the address, what the caller reported, whether the call was flagged and what was booked. Quieter calls wait in one list for the office to work through when it opens.
When the AI can't help
Some callers want a person straight away, and some questions need a real answer from your team. The AI takes a detailed message, marks what is urgent and tells the caller when to expect a call back. It doesn't guess at answers you haven't approved.
Customer privacy
Callers hear early on that they are speaking with the business's AI assistant. Claim details, roof addresses and contact numbers go into your job records. See the privacy page for what the site commits to, and agree recording and retention with us before go-live.
